Image Window Changes

 

The following enhancements and changes have been made to the image window to improve its usability:

 

Previous Image

 

While viewing an image from the pending list, the user can now navigate to the previous image as well as the next image. This functionality is accessed through the new Get Previous Image item on the File menu.

 

Reassign Within the Image

 

The assignment dialog has been replicated inside the image window in order to make reassignment of documents easier. If the user is viewing an image from the pending list and they have the right to reassign documents, the reassignment fields will be displayed at the top of the image form:

Assigned is used to choose which type of user the document is to be assigned to. The options are:

 

·     All – Make the document available to all users

·     Group - Assign the document to a particular group

·     User – Assign the document to a specific user

 

Assigned must be selected before the form can be filed.

 

The Group list is only displayed if Group is selected in the Assigned list. It will contain the full list of groups and an item must be selected if the list is displayed.

 

The User list is only displayed if User is selected in the Assigned list. It will contain the full list of users and an item must be selected if the list is displayed.

 

Priority is used to set the priority of the document within its Assigned type. Documents with the highest priority appear at the top of the group they are assigned to.

 

The Comments field allows specific instructions or information to be associated with the document in order to aid in the prioritization of the document. For example, information about when an ad within the document is to run can be entered so that users can make a quick determination as to when the document should be processed. This field is only visible within the Pending and Prefills lists by default.

 

The Processed field can be checked to remove the document from the Pending list without deleting it. This functionality can be used to remove, but not destroy, customer communication from the Pending list. Items that are marked as processed will only appear in the All list.

 

When checked, Update Contact Assignment causes the new assignment information to be stored in the contact record that the document was received from. To prevent unintended disruption of the site’s workflow, the contact will only be updated if it is not currently routed to a specific group or user. All subsequent documents received from the contact are then automatically routed to the specified assignee. The default value for this field is loaded from the Update Contact on Reassign user preference.

 

These fields in this form are identical to those in the reassignment dialog. When an image is displayed, its current assignment settings are loaded into the fields on the form. If the user changes any of these fields, the program will perform the re-assignment requested by the user either when the image window is closed or when the user navigates to the next or previous document in the list. Because the user does not lock each fax as it is viewed, if another user has the fax opened for editing, the reassignment will fail. Pressing the Reset button will restore the original settings in case the user wishes to discard any inadvertent changes. Due to speed concerns and potential for confusion, documents reassigned through this mechanism are not updated in the list, as this would require the entire list to be refreshed. The user can manually refresh the list when they have completed the necessary reassignments.

 

Zoom Menu Changes

 

A few changes have been made to the Zoom menu to make zooming easier to control:

The items –25%, -50%, -100%, and –200% have been added to reduce the image magnification (zoom out) by the specified percentages. The following three new items have replaced the Out item on the Zoom menu in previous versions:

 

·     Fit In Window – Displays the image so that it fits entirely within the window.

·     Fit to Width – Displays the image so that it is the same width as the window.

·     Actual Size – Displays the image at its actual size (as if it had been printed).

 

After one of the above menu items is selected, a checkmark appears next to that menu item to indicate the current zoom mode. If the user zooms manually by clicking and dragging in the image with the left mouse button or selects one of the zoom percentages, the checkmark will not appear next to any item in the Zoom menu.

 

Automatic Zooming Changes

 

Previous versions of the Client always displayed the image in Fit In Window mode when the image was initially opened, when the image was rotated, or when the user navigated to a different page of the image.

 

In addition, right-clicking anywhere in the image would cause the image to "zoom out", which is the same as the Fit In Window zoom option above.

 

This behavior did not make sense to most users and required extra work to navigate around the image.

 

In this version, the user specifies both how the image is to be zoomed when it is first opened and what should happen when the right mouse button is clicked through the Image User Preferences within the Client.

 

Window Size

 

The size and position of the Image window was previously memorized for each user, but the same settings were used whether the Image window was opened from the Pending list or from the Document. Because these are very different work environments, users would often have to resize and reposition the window in each environment, which was not conducive to speedy processing of documents.

 

This version memorizes the size and position of the Image window separately depending on whether it is opened from the Pending list or the Document. A user’s modification of the size or the position while editing a Document, for example, will not affect the size or placement of the Image window the next time it is opened in the Pending list.
